1. Who we are

Zync AI Solutions (“Zync AI Solutions,” “we,” “our,” or “us”) builds production AI systems for law firms, universities, and enterprise teams. This policy explains what information we collect when you use zyncaisolutions.com (the “Site”), how we use that information, who we share it with, how long we keep it, and the rights you have over it.

2. Information we collect

We collect only the information you provide directly through the contact form on this Site, plus minimal technical metadata associated with that submission. Specifically:

• Full name — so we know who to address in our reply.
• Work email — so we can respond to your inquiry.
• Company — to understand the context of your inquiry.
• Phone number (optional) — only if you choose to provide it for a faster follow-up.
• Service interest — to route your inquiry correctly internally.
• Message — the free-text content you submit.
• IP address and user agent — captured at submission time and used solely for rate limiting, abuse prevention, and debugging.

We do not use third-party advertising trackers, fingerprinting tools, or behavioral analytics cookies on this Site. We do not sell or rent personal information to anyone.

3. How we use your information

The information you submit is used only to:

• Respond to your inquiry, typically within 24 hours.
• Schedule and prepare for an initial discovery call when one is requested.
• Draft a scoped proposal if the engagement moves forward.
• Maintain records of business communications, in line with standard professional practice.
• Detect and prevent spam, abuse, or automated submissions.

We do not use your data to train AI models, build user profiles for advertising, or any purpose unrelated to the inquiry you initiated.

4. Service providers we use

To operate the contact form, we rely on a small number of third-party processors. Each receives only the data required to perform its function and is contractually obligated to protect it.

• Resend (privacy policy) — transactional email delivery. Receives your submitted name, email, company, phone, service interest, and message to relay the inquiry to our team inbox.
• Supabase (privacy policy) — encrypted database storage for the submission record, hosted in the United States.
• Vercel (privacy policy) — site hosting and the serverless function that processes your submission. Vercel may log request metadata (IP, user agent, timestamp) as part of standard infrastructure operation.

5. How long we keep your information

Inquiry records are retained for as long as is reasonably necessary to support an ongoing or potential business relationship, and in any case no longer than 24 months from your last contact with us, after which they are deleted from our Supabase database. Email copies in our inbox may persist longer in line with standard business correspondence retention.

You may request earlier deletion at any time by emailing contact@zyncaisolutions.com.

6. Cookies and tracking

This Site does not set any first-party cookies for tracking, analytics, or advertising purposes. We do not embed Google Analytics, Meta Pixel, LinkedIn Insight, or any equivalent third-party tracker. The only state stored in your browser is the standard Next.js framework state required to render the page.

7. Your rights

Depending on where you live, you may have one or more of the following rights over the personal information we hold about you:

• The right to access a copy of your data.
• The right to correct inaccurate or outdated information.
• The right to deletion (the “right to be forgotten”).
• The right to restrict or object to processing.
• The right to data portability.
• The right to lodge a complaint with a supervisory authority (e.g., your state attorney general or a national data protection authority in the EU/UK).

8. Children's privacy

The Site is directed to professional B2B audiences and is not intended for children under 16. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, please contact us and we will delete it.

9. International data transfers

We are based in the United States, and the providers listed in Section 4 may process data in the United States and other jurisdictions. If you submit information from outside the United States, you consent to that transfer and to processing in the United States. Where required, our processors rely on standard contractual clauses or equivalent safeguards.

10. Security

We rely on industry-standard infrastructure: TLS in transit, encryption at rest in Supabase, scoped API keys for Resend, and serverless functions on Vercel with environment-restricted secrets. The contact form is rate limited at the API layer to slow down automated abuse. No method of transmission or storage is completely secure; while we take reasonable steps to protect your data, we cannot guarantee absolute security.

11. Changes to this policy

We may update this policy from time to time. Material changes will be reflected in the “Last updated” date at the top of this page, and where appropriate we will notify you by other means (for example, an email to addresses already on file). Continued use of the Site after an update constitutes acceptance of the revised policy.
